Workflow automation for SAP Business One: the options in 2026

There are more ways to automate SAP Business One than most people expect, and they are very different things: tools built into Business One, add-ons inside the client, products made for Business One, integration platforms with a Business One connector, and general automation tools that reach it through its API. This page puts them side by side, with how each one reaches Business One, where it runs, how it is priced, and when it is the right pick.

HOW TO CHOOSE

Four questions that narrow it down quickly

    Where does the work happen?

    If the job starts and ends in Business One (invoices out, credit holds, reorders, approvals), a tool made for Business One will know the documents and the business rules. If Business One is one stop among a web shop, a CRM and a dozen cloud apps, an integration platform or a general automation tool fits better.

    Does it have to run on your own server?

    Some companies want their financial data to stay on their network. Business One's own tools, B1UP and B1Flow run on your side; BPA Platform, Magic xpi and appse ai can be installed on-premise, and n8n can be self-hosted. The rest run in their vendors' clouds and need a gateway, an agent or an internet-facing Service Layer to reach a Business One on your premises.

    Who will build and look after it?

    General tools and integration platforms are built for people comfortable with APIs. Several products now build a first version from a plain-English description, but someone still has to check what it will write into your company before it runs for real.

    Is Business One on HANA or SQL Server, and which version?

    Most modern tools reach Business One through its Service Layer, and some set a minimum version: B1Flow needs 10.0 or later, and Workato 10.0, or 9.1 on HANA. Magic xpi's documentation is unclear about HANA, and Business One's own scheduled report e-mails are SQL Server only. Check your version and database against each option before you shortlist it.

Built into Business One

Before buying anything, it is worth knowing what Business One already does. These cost nothing extra, and for some jobs they are enough.

Alerts, approval procedures and Workflow

SAP, part of Business One

Business One's own tools: alerts that run a saved query on a schedule and notify people, approval procedures that stop documents until someone approves them, and a workflow engine whose processes are designed in SAP Business One Studio, with timers, user tasks and script steps.

How it reaches Business One
Built in. Alerts run in Business One's Job Service; Workflow scripts reach the company database through the DI API. Approval procedures cover sales, purchasing, inventory, stock counting and outgoing payment documents.
Where it runs
Your own Business One servers. SAP publishes Workflow guides for both SQL Server and HANA.
Pricing
Part of Business One; SAP lists no separate price.
Builds from plain English
No natural-language building is documented.

The better choice when

You need someone told when something happens, or a document held until someone approves it, and a saved query or an approval template covers it.

Worth knowing

Alerts notify after the event rather than acting on it. Approval procedures cover manual payments but not the payment wizard, and their predefined terms read the document header. SAP's Workflow guide lists no e-mail or external-call step, and scheduled report e-mails are SQL Server only.

Products whose main job is automating work in Business One itself: reacting to its records, creating and updating its documents, and stopping for a person where it matters.

B1Flow

Workflow automation software made for SAP Business One only. It runs beside Business One on your own server, starts workflows from new or changed records, schedules, e-mails, files and webhooks, and builds them in a visual editor or from a plain-English description. Every new workflow starts switched off and in dry run, and a workflow can stop for a person to approve from e-mail, Teams or Slack.

How it reaches Business One
Through SAP's Service Layer, on SQL Server or HANA, with Business One 10.0 or later. Business One's own document PDFs come through SAP's API Gateway.
Where it runs
Your own Windows machine or server, as a Windows service beside Business One. Workflows, run history and connections stay there; only the AI calls leave, on your own Anthropic key.
Pricing
Per company database, per year, with unlimited users. The founding price, for the first ten customers, is US$2,990 a year fixed for three years, plus a one-off launch package.
Builds from plain English
Yes. The AI builder builds a workflow from a description and saves it switched off and in dry run; it also explains and fixes workflows, uses Claude on your own Anthropic API key, and can be switched off.

The better choice when

The job lives inside Business One, in finance, sales, purchasing or the warehouse, and you want it built from a sentence and proven in dry run on your own data before it writes anything.

Worth knowing

It is new, taking its first ten customers in 2026, so there are no published case studies yet. It needs Business One 10.0 or later with the Service Layer and a Windows machine that stays on, and it is not built for keeping a web shop or a CRM in step with Business One.

appse ai

APPSeCONNECT

An AI workflow automation platform from the makers of APPSeCONNECT that covers several ERPs and sells itself specifically for SAP Business One, with a visual canvas, ready-made templates and AI agents.

How it reaches Business One
Its own connector, through the DI API or the Service Layer, on SQL Server or HANA, with a lightweight on-premise agent that needs no inbound firewall ports. Over 100 ready-made Business One templates.
Where it runs
Cloud, on-premise or hybrid, by its own description.
Pricing
Published plans from free to US$299 a month billed annually, and Enterprise on request. Its pricing page reserves the SAP connectors and the on-premise agent for Enterprise, while its Business One page quotes plans from US$99 a month, so ask which applies.
Builds from plain English
Yes. Its Autonomous Workflow Builder works from plain English, and SmartScript turns plain-English instructions into DI API or Service Layer code.

The better choice when

Business One is one of several systems to keep in step, such as a web shop, a CRM or other ERPs in the group, and you want templates and AI agents working across them.

Worth knowing

Its own pages disagree about which plan includes the SAP connector and the on-premise agent, so get a quote for Business One specifically. Lower plans cap the records processed per run.

Add-ons inside the Business One client

Add-ons change how the Business One screens behave for the people using them. They work alongside workflow tools rather than instead of them.

B1 Usability Package (B1UP)

Boyum IT

A no-code add-on inside the Business One client for customising and automating it: validations, extra buttons, macros, reports and dashboards, with an optional server component for scheduled jobs.

How it reaches Business One
Inside the Business One client, reacting to field changes, choices and button clicks there. The optional server component works through the DI API.
Where it runs
In the Business One client on each PC, on SQL Server or HANA. The optional server component is two Windows services that run scheduled jobs whether anyone is logged in or not.
Pricing
Per user per month on subscription, for a quarter up to three years, or a perpetual licence. Prices go through Boyum's partners and aren't public; there is a 20-day free trial.
Builds from plain English
Partly. The B1UP AI Assistant answers questions about Business One data but, by Boyum's own FAQ, can't create or change documents. No plain-English builder for automations is documented.

The better choice when

You want to change how the Business One screens behave for the people using them, with validations, macros, extra buttons and dashboards. It works alongside a workflow tool rather than instead of it.

Worth knowing

Its validations fire on what people do in the client; whether they also apply to records written through the DI API or the Service Layer isn't documented. E-mailing documents needs Print & Delivery, an additional module.

Integration platforms with a Business One connector

Platforms built to move data between Business One and other systems, each with its own Business One connector. Several also handle approvals and alerts.

BPA Platform

Codeless Platforms

An integration and process automation platform with a Business One connector, covering multi-level approvals, e-mail and SMS alerts, document and report delivery, and integration with other systems.

How it reaches Business One
Its own connector, which it describes as SAP-certified, through the DI API and the Service Layer, on SQL Server or HANA, including user-defined fields, tables and objects. Processes run on events or on a schedule.
Where it runs
On-premise, private or public cloud, or hybrid through a remote data relay.
Pricing
The Business One integration starts from £350 a month, billed annually, plus configuration days. It is not priced on API calls, transactions or data volumes.

Not mentioned on its product pages.

The better choice when

You want a certified, Business One-specific integration platform that also handles approvals, alerts and document delivery, set up for you as a configured project.

Worth knowing

It is set up as a configuration project rather than self-serve, with configuration days charged on top.

Magic xpi

Magic Software

A code-free integration platform. Magic describes its Business One use as sharing information between Business One and other software and applications.

How it reaches Business One
Its own Business One connector, which works through the DI API installed on the xpi server, on Windows. Magic's page calls its Business One connectors certified without saying by whom.
Where it runs
On-premise, cloud or hybrid, including a cloud-native edition on Kubernetes.
Pricing
Not published.
Builds from plain English
Not mentioned for building integrations; Magic's AI material is about exposing xpi services to AI clients.

The better choice when

IT-led integration between Business One and other systems: master data sync, intercompany, EDI, consolidation and two-tier ERP.

Worth knowing

Magic's knowledge base says the connector supports SQL Server only while also giving HANA setup steps, so check HANA support for your version. No approval or alert features for end users are described.

Alumio

Alumio

A low-code, cloud-native integration platform, most often used to connect Business One with web shops, product information and CRM systems.

How it reaches Business One
Its own Business One connector, which handles the Service Layer and the DI API and DI Server. Mappings and workflows are configured separately from the connector.
Where it runs
Alumio's cloud, shared or dedicated, hosted in the EU or the US.
Pricing
From €499 a month (Connect Lite), scaling by capacity, with no transaction fees. Implementation by a partner is billed separately.
Builds from plain English
Partly: plain language to schedules, AI models as steps in a route, and AI-assisted field mapping on its roadmap.

The better choice when

A commerce-led business connecting Business One to a web shop, a product information system or a CRM, with a partner doing the implementation.

Worth knowing

No finance or operations workflow features for Business One are described, and its pages don't say how it reaches a Business One on your own premises.

Workato

Workato

An enterprise integration and automation platform with an official SAP Business One connector and AI agent features.

How it reaches Business One
Its own Business One connector, through the Service Layer (Business One 10.0 or later, or 9.1 or later on HANA), connecting directly or through an on-premise agent. Its one Business One trigger, new or updated record, polls every ten minutes by default.
Where it runs
Workato's cloud, with an on-premise agent inside your network when Business One can't be reached directly.
Pricing
Usage-based credits. Enterprise editions are priced through sales; self-service Pro starts at US$75 a month, and Workato doesn't say whether it includes this connector.
Builds from plain English
Yes. AIRO builds automations from a description of the outcome you want, and Recipe Copilot helps build recipes.

The better choice when

A larger organisation integrating many enterprise systems, with Business One one of them.

Worth knowing

Its Business One trigger polls rather than reacting as records change, and enterprise pricing is through sales only.

General automation tools

Popular tools for connecting cloud apps. None of them makes a connector for Business One itself, so Business One is reached through its API, the Service Layer, which means building the Business One side yourself.

n8n

n8n

A visual workflow automation platform, available as n8n Cloud or self-hosted under its fair-code licence.

How it reaches Business One
No official Business One node. Business One is reached with HTTP requests to the Service Layer, or through unofficial community nodes, which need self-hosting. n8n's Business One templates are community-made and use the HTTP node.
Where it runs
n8n Cloud, or self-hosted on your own server.
Pricing
Per workflow execution. Cloud from €20 a month billed annually; the Community edition is free to self-host.
Builds from plain English
Yes. Its AI Workflow Builder creates and refines workflows from natural language.

The better choice when

A technical team that wants to self-host, connect many apps and pay per run, and is happy to call the Service Layer directly.

Worth knowing

Everything specific to Business One is yours to build: logging in, queries, documents and error handling. Its licence limits use to your own internal business purposes.

Power Automate

Microsoft

Microsoft's workflow service in the Power Platform, with cloud flows and desktop robotic process automation.

How it reaches Business One
No Microsoft connector for Business One; Microsoft's SAP connectors are for SAP ERP (ECC) and S/4HANA. The routes are the premium HTTP connector or a custom connector to the Service Layer, a third-party connector (Commercient's, in preview, creates customers and orders), or desktop flows that drive the Business One screens.
Where it runs
Microsoft's cloud, with an on-premises data gateway, or desktop flows on a local Windows machine.
Pricing
Per user (Premium, US$15 a month) or per bot (Process, US$150 a month), paid yearly. Every route into Business One needs a premium licence.
Builds from plain English
Yes. Create with Copilot builds a flow from a natural-language description.

The better choice when

A Microsoft 365 business that wants approvals and notifications in Teams, Outlook and SharePoint, with someone to build the Business One side.

Worth knowing

A Business One on your own premises needs the data gateway, and the Business One calls are custom work.

How it reaches Business One
No Business One app. Business One is reached with the HTTP module calling the Service Layer. Make's on-premise agent, for systems inside your network, is for Enterprise customers.

The better choice when

Linking cloud apps visually and cheaply, where Business One is only one stop in the flow and its Service Layer can be reached.

Worth knowing

Reaching a Business One on your own premises needs the Enterprise agent, or a Service Layer reachable from the internet, and polling Business One uses credits.

The better choice when

A non-technical team connecting cloud apps, where Business One plays a small part.

Worth knowing

Anything involving Business One is custom API work, and as a cloud service it can only reach a Service Layer that is reachable from the internet.

SAP's general-purpose automation service, which runs on SAP's cloud platform rather than beside Business One.

SAP Build Process Automation

SAP

SAP's low-code cloud service combining workflow, robotic process automation and document processing.

How it reaches Business One
SAP's Business One help describes template projects that connect over the Service Layer's OData API, and others that drive the Business One screens through a Windows desktop agent. SAP delivers six template bots for Business One and a return request process.
Where it runs
SAP BTP, SAP's cloud platform, with a Windows desktop agent for bots.
Pricing
Licensed on several measures (users, unattended connections, API calls and storage), with a free plan. SAP's catalogue lists, for example, €14 a month per active advanced user and €500 a month per unattended connection.
Builds from plain English
Yes, through Joule, which generates and edits processes, decisions, forms and scripts from prompts.

The better choice when

You are already on SAP BTP, or automating across several SAP products rather than Business One alone.

Worth knowing

SAP's product page features S/4HANA Cloud and SuccessFactors use cases rather than Business One, and the licensing has several measures to size up front.

Common questions

Does SAP Business One have workflow automation built in?+

Yes, within limits. Alerts run a saved query on a schedule and notify people by internal message, e-mail or text; approval procedures hold sales, purchasing, inventory and outgoing payment documents until someone approves them; and the Workflow engine, designed in SAP Business One Studio, runs processes with timers, user tasks and script steps. They cost nothing extra. Alerts tell someone after the event rather than acting on it, and SAP's Workflow guide lists no e-mail or external-call step, which is where add-ons and workflow tools come in.

Can Zapier, Make or n8n connect to SAP Business One?+

Not with a Business One connector of their own. Zapier lists Business One as not yet supported, Make has no Business One app, and n8n has no official node, though unofficial community nodes exist for self-hosted n8n. All three can call Business One's Service Layer with HTTP requests, which means building the Business One side yourself, and their cloud versions can only reach a Service Layer that is reachable from the internet.

Does Power Automate have an SAP Business One connector?+

No. Microsoft's SAP connectors are for SAP ERP (ECC) and S/4HANA. You can reach Business One's Service Layer with the premium HTTP connector or a custom connector, use a third-party connector such as Commercient's, which was in preview when we checked, or drive the Business One screens with desktop flows. A Business One on your own premises also needs Microsoft's on-premises data gateway.

Which options run on our own server?+

Business One's own tools, B1UP and B1Flow run on your side. BPA Platform, Magic xpi and appse ai can be installed on-premise, and n8n can be self-hosted. Alumio, Workato, Power Automate, Make, Zapier and SAP Build Process Automation run in their vendors' clouds, so they need a gateway, an agent or a Service Layer reachable from the internet to get to a Business One on your premises.

Which ones can build a workflow from a plain-English description?+

B1Flow, appse ai, Workato (AIRO), n8n (AI Workflow Builder), Power Automate (Copilot) and SAP Build Process Automation (Joule), and in beta Make (Maia) and Zapier (Copilot). Alumio uses AI for parts of the job, such as schedules. Whichever you use, someone still has to check what a generated workflow will write into Business One before it runs for real; B1Flow saves what it builds switched off and in dry run for that reason.

What's the difference between an add-on like B1UP and a workflow tool?+

An add-on like B1UP lives mainly in the Business One client and changes how the screens behave for the people using them: validations, extra buttons, macros. A workflow tool does the jobs nobody needs to sit at a screen for, such as sending invoices, holding orders over the credit limit or reordering stock, usually from a server. Many companies use both.
